Your clients, one list

Getting started

If you keep books for more than a handful of companies, the dashboard's cards stop being a way to find anything. Clients is the list built for that: one row per company whose books you can open, on any of your logins, with the state of each one read straight from the books.

Open it from the Clients button at the top of the dashboard.

What each row tells you

  • Client: the full legal name, the short code, and whether it is a books company or a store.
  • Whose books: the account the books live in. Mine means you own that account; anything else was shared with you by its owner.
  • My access: what you may do in this company. Read only, Accountant (read and suggest), Read and write, or Full access. Changing it is the client owner's job, on their Users and Access screen.
  • Status: one word for the state of the books. Hover it to read the reasons.
  • To review: bank lines waiting in For Review. Click to land on the account whose lines have waited longest.
  • Unreconciled: active bank and card accounts with no completed reconciliation in the last 45 days, out of how many there are.
  • Unattached: receipts and invoices in the vault with no entry yet. Click to open Documents.
  • Closed through: the last month closed, with an amber count when two or more full months have ended and are still open.
  • Suggestions: correcting entries proposed and not yet decided.
  • Requests: what you asked this client for and is still waiting, what they answered (your turn), and what is overdue. Click to open their Requests tab.
  • Due: calendar items overdue or due in the next seven days.
  • Last entry and Cash: is anything happening here, and the number every owner asks first.

The four statuses

  • Needs attention (amber): bank lines to review, an account not reconciled, two or more months not closed, or a suggestion waiting.
  • Watch (blue): nothing blocking, but something waits: documents not entered, a client's answer to read, a request overdue, an item coming due, or no entry in 45 days.
  • On track (green): entries flowing, nothing waiting.
  • Quiet (gray): no books yet, or no entries at all.

The list opens loudest first. Click any column header to sort by it instead, and drag a header's edge to resize it.

Your dashboard's groups

The list follows the groups you arranged on the dashboard: a Group column shows where each client sits, the Group menu narrows to one, and the list opens in your dashboard's group order. Move a company on the dashboard and it moves here too. Companies you hid on the dashboard stay out of the list until you pick Hidden on my dashboard in that menu.

Finding the one you need

The band above the table counts every state and every kind of waiting work. Each figure is a filter: press 3 need attention and only those three clients remain; press it again for everyone. The Show menu holds the same filters plus I can edit and Read only for me, and when your clients live in more than one account, Whose books narrows to one. Search reads the legal name, the code and the account name.

Land here every time

Turn on Open the client list when I sign in and the books open on this list instead of the dashboard cards. The Dashboard link at the top of the list still opens the cards whenever you want them. The choice follows you to any computer you sign in from.

Getting in

Clicking a row opens that client's books. Companies shared with you by another account open the same way; kBooks signs you into the right account on arrival. Print and the download menu produce the list as you have filtered and sorted it.
